Children’s Education and Transportation Fund Request Procedure

Blackhawk Museum is committed to ensuring that school children have the opportunity to visit the Museum as an important part of their education. The Children’s Education and Transportation Fund is an innovative reimbursement program that provides financial support for bus transportation to the Blackhawk Museum.

Step 1: REQUEST INSTRUCTIONS

School group reservations and approval for transportation funding are required at least (4) weeks in advance. Teachers wishing to utilize the Children’s Education and Transportation Fund must request the funds at the time they request their tour.

  1. To request the assistance of the Children’s Education and Transportation Fund, please indicate this on the School Tour Request Form.
  2. The Blackhawk Museum does not receive funding from federal, state, county, or city governments. As a result, the Museum relies entirely on the generosity of donors to sustain vital programs such as the Children’s Education and Transportation Fund. This fund helps make educational field trips accessible to students who might not otherwise have the opportunity to visit the Museum. To ensure we can continue offering transportation reimbursement to as many schools as possible, we are implementing a cap on reimbursement. Effective immediately, transportation reimbursement will be limited to a maximum of $750 per bus. Schools requesting reimbursement are required to select buses operating at or near full passenger capacity to maximize the impact of available funds. We remain deeply committed to providing meaningful educational experiences for students and are sincerely grateful to the donors whose generosity makes these opportunities possible.

Step 2: REIMBURSEMENT INSTRUCTIONS

  1. Copy the Reimbursement Request Form onto your school letterhead and fill in the required information to qualify for reimbursement.
  2. Please submit a completed Reimbursement Request Form, a signed & dated W-9 form, and the final invoice showing the amount paid.
  3. Payments will be processed after your school’s tour. If multiple tour dates have been scheduled, then the payment will be made following the final tour date. All required documentation must be submitted within the same school year as the field trip.
